Using My Workspace

The My Workspace is a centralized hub that provides real-time insights into maintenance operation. It allows Administrators or Technicians to track and view the completion rate of Preventive Maintenance work orders, upcoming work orders, total asset cost, and the distribution of work across multiple Technicians in one place.

My Workspace streamlines operations, improves productivity, and reduces navigation time across the application.

My Workspace consists of four main tiles or sections:

• PM Completion Rate

• Upcoming Work Orders

• Asset Maintenance Cost YTD

• Work Distribution

NOTE  The Asset Maintenance Cost YTD tile is available only to Administrators and does not appear to Technicians.

Accessing My Workspace

• Click the My Workspace icon to open it.

  

PM Completion Rate

The PM Completion Rate tile displays the percentage of completed Preventive Maintenance work orders across all PM WO’s work order categories such as Compliance, and Cleaning/Sanitation.

Example, 3% PM completion rate indicates that only 3% of the PM generated work orders are completed by their due date out of total PM WOs work orders across all work order categories.

Use the PM Completion Rate tile to view and track the Preventive Maintenance generated work orders organized in different work order categories.

To use the ‘PM Completion Rate’ tile:    

• Click a work order category name such as Calibration to view the completion rate, total, completed, and overdue work orders.

• Click  icon to filter upcoming work orders by the following time range: 

  • Next 7 days 

  • Last 7 days 

  • Last 30 days 

  • Last 90 days 

  • Last 365 days 
    

• Click the icon to refresh the tile.

• Click the icon to expand and focus on the tile.

  NOTE  The timestamp displayed in the lower-left corner of the tile shows when the tile was last refreshed.

Upcoming Work Orders

The Upcoming Work Orders tile displays scheduled work orders from the previous 30 days to the next 90 days.

To use the ‘Upcoming Work Orders’ tile

• Click a work order to open the work order panel and view details, update information, and assign a technician.
  

  

• Click icon to filter upcoming work orders by the following time range:

  • Next 7 days

  • Next 14 days

  • Next 30 days

  • Next 90 days

    

• Click the icon to refresh the tile.

• Click the icon to expand and focus on the tile.

  NOTE  The timestamp displayed in the lower-left corner of the tile shows when the tile was last refreshed.

Asset Maintenance Cost YTD

The Asset Maintenance Cost YTD displays the total maintenance cost for assets across multiple asset types such as Vessel Cost Year to Date (YTD) and Pump Cost Year to Date (YTD). This includes both part and labor cost.

NOTE  This tile is non-interactive.

To use the ‘Asset Maintenance Cost Year to Date (YTD)’ tile:

• Click the icon to update the tile.

• Click the icon to expand and focus on the tile.
  

  NOTE  The timestamp displayed in the lower-left corner of the tile shows when the tile was last refreshed.

Work Distribution

The Work Distribution tile displays technician workload and assignment distribution.
Use the Work Distribution tile to identify available Technicians, balance workload, and assign new work orders based on capacity.

To use the ‘Work Distribution’ tile:

• Click a technician’s name to view the number of work orders assigned to them.

• Use the progress bar to view percentage of work orders completed out of total work orders to a technician.

  

• Click a work order under a technician’s name to open the work order panel to view details, update information, and assign technician.
  

• Click the icon to filter the work orders distribution by the following time ranges:

  • Next 7 days

  • Last 7 days

  • Next 14 days

  • Next 30 days

    

• Click the icon to update the tile.

• Click the icon to expand and focus on the tile.
